Job Description

The Academic Advisor reports to the Dean of Math and Science and is responsible for general academic advising for prospective and currently enrolled students, including foundational advising for first-time entering Math and Science students, continuing advising for current students, transfer out advising for those continuing their education after NWACC, and advising for special populations of students-identified as needing proactive success programming. Position will participate in integrated, cross-trained team approach to promote student success.

Student Advising

  • Meet with students in person, by phone, or through email to assist with:
    • course selection.
    • transferring to other schools.
    • financial aid appeal planning.
    • program and degree information.
    • science and math prerequisites and placement.
  • Collaborate with General Advising and Other Departmental Advisors.
    • Participate in open house and senior day events.
    • Participate in group registration activities.
    • Provide information and assistance to other advisors regarding science and math courses.
    • Ensure accurate placement of special student populations.
    • Keep informed of updates to placement charts, course changes, and prerequisites.

Special Registration

  • Evaluate requests for registration overrides into science and math courses for:
    • Capacity.
    • Prerequisites.
    • Instructor Permission.
    • Late Registration.
  • Keep accurate records of overrides.
    • Complete appropriate paperwork.
    • Submit registration form copies to Student Records.
    • Compile override data for analysis.
    • Collaborate with department chairs and instructors for override regulations.

Course Substitutions and Transfer Credits

  • Evaluate course substitutions requests to ensure they are appropriate and necessary.
  • Submit course substitutions for approval.
  • Keep accurate records of substitution requests.
  • Route course descriptions and syllabi to appropriate department chairs and faculty for transfer credit evaluation.
  • Work with transfer coordinator to ensure transferability or NWACC courses.

Degree and Program Review

  • Evaluate current Science and Math division degree plans for any needed updates.
  • Work with Student Records and IT to ensure accuracy of online degree audit systems.
  • Create degree plans for new certificate and degrees as determined by division Dean.

Rate of pay: $38,000 annualized

Knowledge, Skills, and Abilities

  • Knowledge of college policies, procedures, and practices; knowledge of the Family Educational Rights and Privacy Act (FERPA), Title VII, Title IX, ADA and other applicable laws pertaining to employment and education;
  • Ability to plan, organize and implement assigned responsibilities and to work well under pressure to meet deadlines;
  • Excellent organizational, analytical and planning skills;
  • Ability to participate as a team member;
  • Ability to understand and interpret rules and regulations, and ability to adjust to change;
  • Ability to handle confidential material judiciously; understanding of education programs and tools related to community colleges;
  • Self-motivated and self-directed with the ability to prioritize work independently and meet deadlines;
  • Strong analytical and technology skills are necessary;
  • Understanding of college's Human Resources, and Student Services processes in addition to Academics;
  • Well-developed oral and written communication skills are necessary;
  • Ability to use a personal computer and other office equipment, including related college software (including Canvas) and email is required;
  • Evidence of performance excellence in multiple areas in previous positions;
  • Experience with facilitation of group planning efforts and facilitation strategies are desirable;
  • An understanding of institutional and disciplinary accreditation standards is preferred.

Physical Demands

The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor. The employee may be required to work or meet in the evenings and/or on weekends.

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull up to 25 lbs.; to operate office equipment which may require repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.

Required Qualifications

Bachelor's degree or equivalent with 2 years related experience and/or training.
